This article will give you steps on how to merge clients
Merging clients is a good exercise to get in the habit of doing once per month, this will ensure that your database is clean and not full of duplicates.
You can merge clients on the client search screen which can be accessed from the appointment book.
The image below shows where the client search symbol is at the top of the appointment book.
Once you have this loaded you then need to click on the 3 dots, which is shown in the image above (2). Finally, Enable client merge by switching the toggle from red to green and closing the pop-up window by clicking on the X.
Once Enable client merge has been activated you will then see a new button appear on the client search window called Merge.
You will also see two additional columns showing Base client and Merge client.
Base Client - this is the client you wish to keep, or the client that has the most correct information on.
Merge Client - This client is the one you wish to merge into the Base client, so the base client will remain.
Select the base client by clicking on the X, then click on the X of the merge client.
When you have selected a base client and a merge client you can then click on the Merge button as it will become clickable.
An example of the merge will then be displayed, this shows you 3 columns.
- Base Client - The client record you wish to keep
- Merge Client - The client record that you wish to merge into the base client
- Result - This will be the information on the client record card once you have merged the two clients together.
You can freely enter any additional text into the Result column by clicking on the relevant field in red.
If you have got the clients round the wrong way, just click Swap Clients, the base client and the merge client will swap places.
To re-select the base client click on Choose Base Client
To re-select the merge client click on Choose Merge Client
When you are happy with how the Result column looks, you will then be ready to merge the two together.
Once you have clicked on Merge Clients this cannot be undone. Please make sure you are 100% sure on the details shown in the Results column before clicking Merge Clients.
When your merge has been successful you will see a pop up window saying Clients have been merge successfully.
